Managing your trucking business’s financials starts with connecting your bank accounts and credit cards seamlessly to Fintruck. Powered by Plaid, Fintruck enables secure, real-time integrations with financial institutions, ensuring that all your financial data is accurate, up-to-date, and easily accessible for accounting and reporting.

This guide explains how bank integrations work in Fintruck, the types of accounts you can connect, and common use cases for trucking businesses.

Why Bank Integrations Matter for Trucking Companies

Trucking companies deal with high volumes of transactions, from fuel purchases and toll payments to freight income and payroll disbursements. Manual entry of these transactions is time-consuming and error-prone. With Fintruck’s Plaid-powered bank integrations, you can:

  • Automate Data Entry: Automatically import transactions into Fintruck.
  • Track Cash Flow in Real-Time: Stay on top of income from freight haulers and expenses like maintenance and fuel.
  • Simplify Reconciliation: Ensure your bank statements align with your accounting records.
  • Improve Financial Accuracy: Eliminate manual errors and get reliable financial insights.

Two Ways to Integrate Bank Accounts

Option 1: During Account Creation

When you create your Fintruck account, we guide you through the setup process, which includes linking your bank accounts. Here’s how it works:

  1. Onboarding Prompt: During the onboarding process, you’ll be prompted to connect your bank accounts automatically.
  2. Choose Your Bank: Select your bank from the provided list using our secure Plaid-powered interface.
  3. Authenticate: Log in using your bank credentials. Plaid ensures secure authentication using advanced encryption.
  4. Account Selection: Choose which accounts (e.g., checking, savings, credit cards) you’d like to sync with Fintruck.
  5. Get Started: Once linked, Fintruck will automatically import your transactions, and you can proceed with categorizing and managing your finances.

This option ensures that your financial integration begins immediately, saving you time and setting up your trucking business for financial success from day one.

Option 2: Via Settings

If you didn’t connect your bank accounts during onboarding or need to add new accounts later, you can always link them via the Settings menu:

  1. Navigate to Bank Integrations:
In Fintruck, click on the Settings tab and select Bank Integrations from the menu.
  2. Connect Bank Account:
Click the Connect Bank Account button. Fintruck will redirect you to Plaid’s secure interface.
  3. Select and Authenticate:
Search for your bank, log in with your credentials, and choose which accounts to link.
  4. Confirm Integration:
Once connected, Fintruck will begin importing transactions immediately, allowing you to manage them in the Transaction Feed.

This flexible option allows you to manage integrations at your convenience, whether adding new accounts for expansion or updating existing ones.

Types of Accounts You Can Integrate

With Plaid, Fintruck allows you to connect:

  1. Bank Accounts: For incoming payments from shippers, factoring companies, and other clients.
  2. Credit Cards: To track fuel card transactions, repairs, and other business expenses.
  3. Loan Accounts: Monitor payments for trucking equipment financing or business loans.
  4. Savings Accounts: Track reserves set aside for taxes or capital expenditures.

Key Use Cases for Trucking Businesses

1. Tracking Freight Income

When clients pay invoices directly into your bank account, Fintruck automatically imports these deposits. You can categorize them under Freight Revenue for accurate income reporting.

2. Managing Fuel Expenses

Fuel purchases made with credit cards or fuel cards appear in the Transaction Feed in real-time. You can categorize these under Fuel Costs, ensuring clear tracking of one of your largest expenses.

3. Monitoring Equipment Financing Payments

Loan payments for trucks or trailers linked to your bank account are imported and can be categorized under Loan Payments or Equipment Financing, helping you track debt repayment schedules.

4. Payroll Reconciliation

When payroll providers debit your account to pay drivers or office staff, Fintruck imports these transactions. You can categorize them under Driver Payroll or Office Payroll for clarity.

5. Handling Maintenance Costs

Expenses for repairs or maintenance charged to credit cards are automatically synced and categorized under Truck Maintenance, helping you stay on top of your fleet’s operational costs.

6. Factoring Transactions

For trucking companies using factoring services, Fintruck can help you track advances and deductions. Payments received and fees deducted by factoring companies can be categorized for accurate cash flow reporting.

Common Scenarios and How Fintruck Handles Them

Scenario 1: A New Bank Account is Added

You recently opened a new account for specific purposes (e.g., a fuel-only account). Simply connect the new account through Plaid, and Fintruck will begin syncing transactions.

Scenario 2: Duplicate Transactions Appear

If you previously uploaded transactions manually, you might see duplicates after linking a bank account. Fintruck automatically detects and flags duplicates for review, ensuring clean records.

Scenario 3: Categorization Rules for Recurring Transactions

You can set up rules for common transactions like monthly loan payments or recurring toll charges. Fintruck applies these rules automatically to keep your books organized.

Scenario 4: Bank Reconnection Issues

Sometimes, banks update their security protocols, requiring you to reconnect your accounts. If this happens, Fintruck will notify you and guide you through the reconnection process.

Scenario 5: Multiple Bank Accounts Across Entities

If you operate multiple trucking entities, you can link accounts for each company separately and toggle between them within Fintruck for accurate entity-level reporting.

Security and Compliance

Fintruck’s Plaid-powered integrations are built with your security in mind. Plaid uses advanced encryption and does not store your credentials. Additionally, Fintruck ensures compliance with accounting and tax regulations, giving you peace of mind.
